About the position
amandla.mobi is looking for a deadline driven, highly efficient Office Coordinator to join its team. This position is a multifaceted one involving a variety of operational and office administration duties that are key to the smooth running of amandla.mobi, and is full-time in the organisation’s office in Kensington, Johannesburg.

Key areas of responsibility
- Board support
- Effective and timely coordination of pre-meeting agendas and documentation. This includes the scheduling, attendance, logistics and related administration to ensure professional and efficient meetings.
- Attend and transcribe timely Minutes and coordinate follow-up on actions as appropriate.
- Support the Chair of the Board and the Executive Director in the effective management of the Board recruitment process.
- Create and maintain a comprehensive filing system for documentation.
- Provide regular communication to stakeholders where required.
- Events’ planning
- Oversee the logistics of all amandla.mobi events (e.g. member events, offline actions and member engagement).
- Liaise with and seek new, reliable suppliers and service providers (e.g. caterers, venues, interpreters, translators and proofreaders).
- Human resources
- Assist with HR administration.
- Maintain records (e.g. leave, training logs, employee benefits) and file personnel records and correspondence.
- Provide logistical and administrative support for entering and exiting staff.
- Office administration, operational and logistical support
- Contribute to all aspects of office space / infrastructure planning (e.g. office layout, set up and changes to work stations).
- Keep the staff meeting calendar.
- Oversee bookings of meeting rooms.
- Oversee all inventories (such as the asset register and items in stock).
- Open up and lock up the office every day.
- Manage and route phone calls appropriately.
- Schedule in-house and external meetings.
- Distribute incoming mail.
- Manage and order office supplies and distribute to staff when required.
- Make travel arrangements.
- Organise company documents into updated filing systems.
- Address employees’ and clients’ queries (via email, phone or in-person).
- Prepare presentations, spreadsheets and reports.
- Monitor the organisation’s compliance with procurement requirements (e.g. calls for consultants, ensure procurement rules are understood and implemented by staff, and verify that contracts and justification notes are correctly filed digitally and in hard copy with original signatures).
- Support the amandla.mobi team with other administrative tasks as required.
- Other
- Manage specific projects and deliver them on time and budget to a high standard.
- Where appropriate, supervise the work of other team members and / or consultants.
- Carry out any other duties equal to the skills and responsibilities required for this position, as directed.
Package
Salary: R240,000 gross per annum.
